ADMIN ASSISTANT
BACKGROUND
Pickering Islamic Centre has an immediate opening for a full time Admin Assistant. The person will be the initial contact for visitors and callers to the Centre and perform administrative and accounting tasks crucial to the success of the organization. The Admin Assistant is expected to maintain regular hours and the position will require evening or weekend work.
The successful candidate will be a self-starting, detail-oriented, and resourceful administrative professional who is excited by our mission. The person will be called upon to fulfill the following key responsibilities:
- Leadership Support: Reporting to PIC Administrator, performing tasks that include coordinating schedules, writing correspondence as needed. Provide general support to the PIC’s management team as needed.
- Office Management: Serve as the front-desk person, greeting all visitors and answering and routing phone calls. Ensure the office common spaces, workroom, and storage spaces are clean, well-organized, and professional in appearance. Maintain office supplies and equipment, interfacing with vendors as needed. Retrieve, process, and distribute mail and faxes.
- Data and File Management: Organize and maintain general administrative files. Maintain mailing list and donor databases.
- Development Support: Capture donation information in donor software and create reports as needed; reconcile data with the Finance Department.
- Event Coordination: Organize special events and meetings. Coordinate logistical aspects of these meetings and events.
The Admin Assistant’s responsibilities may be expanded depending on additional skills the candidate brings to the position.
SKILLS AND QUALIFICATIONS
The ideal candidate will possess the following required qualifications:
- Degree from an accredited college/university.
- Experience and knowledge of accounting software
- Two plus years of experience in administrative, accounting and office-related work.
- Excellent computer skills with advanced knowledge of Microsoft Office products and Windows-based computer systems.
- Experience using data management systems and Outlook.
- Experience planning or coordinating special events.
- Experience using social media for business or organizational promotion.
- Proven ability to communicate effectively, both verbally and in writing.
